Support & guides

How the app works, and — more usefully — how the BACB’s rules work, since almost every question here is really a question about those.

Nothing here replaces the BACB handbook. Always check your numbers against it.

Using the site

Five screens, and one of them is where you will spend nearly all your time.

This month

The screen the app opens on, and the one you use daily. Log timesits at the top: the date, the start and end, whether the work was restricted or unrestricted, and whether a supervisor was there. If it was a supervision contact, write what happened in the box with the formatting toolbar — that is the field an auditor actually reads, and the BACB expects one for every contact. You can attach files to the same entry: a session note, a graph, a countersigned sheet. Everything you have logged this month sits underneath, with its written record and its files, and under that is the verdict.

The + Log time button in the top corner of every page brings you straight back here, for when you remember an hour while you are somewhere else in the site.

The verdict, and the two rulesets

Under your entries the month is scored twice — against the 2022 requirements and against the 2027 ones — because which set judges you is decided by when you apply, not by when you worked. When the two disagree, both are shown whether you asked for them or not. The ? beside the switcher explains the difference in full, with what it costs in hours.

History

Every month you have logged, with what each is worth and whether it has been signed. Switch to the entries view to search the written records — filter by date, status, activity, whether something was observed, or just type a word you remember. This is also where the exports are: every entry as a spreadsheet, month totals, and a printable PDF summary an auditor can read without an account.

Documents

Anything that belongs to your record rather than to one hour: your supervision contract, verification forms, certificates. Each upload can be attached to the whole record, to a month, or to a single entry. Your supervisor can see documents attached to your track.

My supervisees

Only appears if somebody has named your address as their supervisor. It is the whole caseload in one list, ordered by who is waiting on you, so six trainees are one sitting rather than six emails. You do not need this screen to sign — the link in the email works on its own.

Account

Your subscription, your export, and deleting your account. Deletion is immediate and permanent, so export first if there is any chance you will want these hours later.

Getting started

How do I create an account?

Enter your email on the sign-in page and we send you a link. The same link creates your account. There is no password anywhere in this product.

What do I need before I start logging?

Your name exactly as it appears in your BACB account, your credential (BCBA or BCaBA), whether you are accruing supervised or concentrated fieldwork, the date your supervision contract was signed, and your supervisor’s name and email.

The contract date matters more than it looks. Hours dated before your supervisor signed the contract do not count, and each supervisor’s start date is the day they signed.

I already have months of history in a spreadsheet.

Import is not built yet — it is the next thing on the list, and until it lands you would have to enter earlier months by hand. If you are mid-fieldwork, tell us at support@somexai.com and we will prioritise the format you are coming from.

Logging time

Restricted or unrestricted — which is this?

Restricted is delivering therapeutic or instructional procedures directly to a client. Unrestricted is the work a BCBA would do: assessment, programme design, data analysis, training staff and caregivers, meeting about programming, reading the literature for a current client.

Context decides, not the activity’s name. Collecting data is restricted when it is part of delivering a client’s treatment programme, and unrestricted when it is part of an assessment you are conducting. Across all your hours, unrestricted must reach 60% for BCBA and 40% for BCaBA — measured across the whole total, not each month.

What does “feedback happened in real time” mean?

This is the single most commonly mis-logged thing, and it changes what an hour is worth. If your supervisor watches a recording of you alone and sends notes later, that hour counts toward the observation requirement and nothing else. If you watch it together, pausing to discuss, the same hour counts toward observation, the supervisory contact and your supervised hours.

Why does it want a written summary of supervision?

Because the BACB requires one on every supervision contact, and because it is the field an auditor actually reads. A month of contacts with no summaries is the most common documentation failure there is.

Individual or group?

Group supervision is an interactive meeting of two to ten trainees — never more than ten, regardless of how many supervisors are in the room. At least half of your supervision time each month must be individual, so group time beyond your individual time gets cut back.

Understanding your month

Why are there two different hour totals?

Because the BACB counts something other than what you worked. Logged is your actual time and stays in your documentation permanently. Eligible is what the board will count after its published adjustment table is applied, and that is the figure that goes on your monthly form. The BACB expects both to exist and expects them to differ.

What can reduce or void a month?

Three things void it outright, whatever else you did:

  • No observation of you working with a client
  • Fewer than 20 total hours
  • The monthly form unsigned past its deadline

Four things reduce it instead:

  • Over the monthly cap — independent hours are trimmed to fit
  • Too few supervisory contacts — the month is prorated. Two of four required contacts on 110 hours leaves 55 eligible hours
  • Group supervision beyond individual — group is cut back to match
  • Supervision below the minimum percentage — independent hours are trimmed

Concentrated fieldwork is never prorated. It either meets the requirements or the month does not count.

What do the marks mean?

✓ met — satisfied. ! at risk — not satisfied yet, but the month is open and there is still a fix, which is stated on the line. ~ adjusted — not met, and the month has been reduced rather than lost. ✗ failed — not met and no longer recoverable. – not assessed — this ruleset does not check it.

Early in the month almost everything sits at “at risk”, and that is deliberate. Showing failure on the 3rd for a month that has 27 days left would just teach you to ignore the screen.

Getting signed

When is the deadline, exactly?

The monthly verification form must be signed by the last day of the calendar month following the month of supervision. September’s form is due 31 October. Miss it and the BACB counts none of that month — which can be 130 hours gone over an unsigned PDF.

What does my supervisor have to do?

Open the link we email them, read the month, type their name, and confirm. Under a minute, in whatever browser their phone already has. They never create an account, never set a password, and never install anything.

Can I edit a month after it is signed?

No, and that is the point. Signing freezes the entries and records a fingerprint of exactly what was signed. A signature over records the supervisee could still change afterwards would not prove anything to anyone — and the BACB says as much, requiring that any alteration to a signed document be initialled by all parties.

The 2027 change

Do my existing hours get grandfathered?

No. This surprises almost everyone. The BACB judges your fieldwork by the requirements in force when you submit your application, not when you worked the hours. Hours accrued today can be measured against the 2027 rules.

That is why every month here is scored against both rulesets at once, and why we flag it when they disagree — including while the month is still open and you can still do something about it.

What actually changes on 1 January 2027?

  • The monthly maximum rises from 130 to 160 hours
  • The supervisory contact requirement is eliminated entirely
  • Observation becomes 60 cumulative minutes for supervised fieldwork, or 90 for concentrated, instead of a single observation
  • BCBA concentrated supervision drops from 10% to 7.5%
  • BCaBA concentrated total hours drop from 1,000 to 800

Everything else holds. Two traps worth knowing: hours accrued at the 2022 concentrated rate of 10% do satisfy 2027’s 7.5%, but hours accrued at 7.5% can never be counted as 2022 — and anything logged above 130 in a month has to be cut back if you end up applying under the 2022 rules.

When things go wrong

My supervisor will not sign my monthly form.

The BACB does not arbitrate monthly form disputes — it says plainly that they are between supervisor and trainee. What it does do is handle disputes over the final verification form, through its Contested Fieldwork Form, and a supervisor may not withhold that signature over unpaid fees.

Practically: the record here, with its timestamps and entry-level detail, is the evidence you would need. Keep logging.

My supervisor left, and a month is unsigned.

Get whatever you can signed before the deadline, even if that means chasing someone who has moved on. Where a responsible supervisor exists at the organisation, they can sign in the departing supervisor’s place. Email us if you are stuck — this is the situation we most want to hear about.

The sign-in link never arrived.

Check spam first. Clinic and hospital mail systems filter aggressively. If it is genuinely missing, ask for another — links expire after twenty minutes and work only once — and if that fails, email support@somexai.com from the address you are trying to use.

Your data

Do you store anything about my clients?

No. Clients are codes you choose and only you can interpret. There is no field anywhere in this product to enter a client name, date of birth, address or any other identifier, which is deliberate — it keeps your clients’ protected health information off our servers entirely. Please do not put it in the free text fields either.

Who owns my record?

You do. Not your employer. If you change clinics it comes with you, and an organisation sees your hours only while you are a member of it.

Can I get everything out?

Yes, whenever you like, and that stays true if you stop paying. See Privacy for what we hold and why.

Paying for it

How long is it free?

Your free period starts at your first logged entry, not at signup, and runs to the end of the month after that — so it is always at least a full month and can be almost two. It is not tied to the calendar month you happen to be in, so starting on the 28th costs you nothing. Your account page shows the exact date.

What happens when it ends?

Logging new hours stops until you subscribe. Nothing else does: your record, your history, your documents and every export stay open and free, for good. We are not going to hold a licensure record hostage over a subscription.

How do I subscribe, and how do I stop?

Account → Subscribe. It is $96 a year, shown as $8 a month. Cancelling is on the same page under Manage billing, which is Stripe’s own portal — cancel any time and you keep the period you have paid for. Supervisors never pay for anything.

Getting hold of us

A person reads everything that comes in. There is no ticket queue and no autoresponder pretending to be one.

Email

support@somexai.com — the fastest route. Include your account address and the month in question and there is no back and forth.

The contact form

The form does the same thing if you would rather not open a mail client.

If a deadline is close

Say so in the subject line. A month that will be lost this week goes to the front of the queue, because after the deadline there is nothing anyone can do about it.
